Spirit of Lyot: Presenter Instructions May 25, 2007 http://www.lyot2007.org/ Dear Colleagues, Please take a few minutes to review the following information regarding oral presentations, followed by instructions for poster presentations: ***************************************************************** ORAL PRESENTATIONS ***************************************************************** 1) LAPTOPS: Each speaker may present their talk from their own laptop. Before the beginning of each session we will connect all of the session's laptops to an 8-port AV switch. Each laptop will be tested for connectivity. When your turn for speaking comes up, you may bring your laptop to the podium, or control it remotely through a USB device (we can provide this, as well as a green laser). We will not have wireless microphones. 2) FILES FOR BACKUP, CONFERENCE SUMMARY & WEB ARCHIVE: Please e-mail or otherwise provide a copy of your talk to Christian Marois (cmarois@igpp.ucllnl.org). The purpose is to have a backup of your presentation on another laptop in case something goes wrong. We would also like to use these files for a conference summary talk given by James Graham on Friday, and for posting on the web site. PDF, PowerPoint, HTML, and Pages 1 and 2 are formats that we can handle. If necessary, we can also transfer your talk using a USB memory stick when you arrive at the conference. 3) TALK DURATION: Please allow adequate time for questions. For a 15 minute slot, the talk should be 12 minutes plus 3 for questions. For all other talks, we require 5 minutes for questions. We will have a countdown timer available to make sure the time limits are applied fairly. 4) RELATED ABSTRACTS and POSTERS As you prepare your talk, you may wish to search through the list of abstracts (see the web site http://www.lyot2007.org) to find related topics and themes that may be relevant to your presentation. Poster presenters would be particularly appreciative if in your talk you pointed out posters that are relevant. 5) GENERAL SUGGESTIONS For the majority of talks, the Lyot SOC would like to see some emphasis on future directions and open questions. With this request, we hope to foster innovation and new directions in the field, two guiding principles of our conference. ***************************************************************** POSTER PRESENTATIONS ***************************************************************** 1) ORAL PRESENTATION Poster presenters will have 2 minutes to present their poster orally. If you wish to display one or two slides using powerpoint, pdf, html, or pages, you must e-mail this file to Christian Marois (cmarois@igpp.ucllnl.org) before June 02 (Saturday). The presentations will be loaded on a single laptop. Posters assigned to the Mon-Wed sessions will present the oral version in Monday's "Poster Express" session. All posters that appear in Thursday's sessions will be presented in Tuesday's "Poster Express". We would also like to use these files for a conference summary talk given by James Graham on Friday, and for posting on the web site. 2) SESSIONS: Posters may stay up for the entire duration of the conference, even though the conference agenda groups posters with certain sessions (mainly for conceptual purposes). 3) SIZE: The postable area of each poster panel is 46" high and 72" wide. To accommodate as many posters as possible, we request that the poster widths are set to <36" (0.9 m). However, if you have already printed a larger poster, we can accommodate a few posters that exceed the width limit. 4) LOCATION: All poster panels will be located in Chevron Auditorium. Sincerely, Paul Kalas UC Berkeley
